HUNTING RANCH RESEARCH — PRIVACY POLICY

1. Who We Are
Hunting Ranch Research ("HRR," "we," "us") is operated by Robert Harris d/b/a Hunting Ranch Research, 274 Nursery Rd., Victoria, TX 77904. Email: data@huntingranchresearch.com.

This policy covers huntingranchresearch.com, our entry and submission forms, our social media pages, and our promotions: The Data Buck Sweepstakes, the Braggin' Board Photo Contests, and the Trail Cam Photo Contest.

2. Information We Collect

Information you give us:

  • Contact information: name, mailing address, email, phone number

  • Eligibility information: age confirmation, state of residence, and date of birth (winners only)

  • Social media usernames, if you provide them

  • Survey answers about your hunting, land, equipment, and practices

  • Harvest information: photos, antler and body measurements, weight, age estimates, and the county where the animal was taken

  • Trail camera photos

  • Braggin' Board photos and captions, including youth hunter photos submitted by a parent or guardian

  • Contest votes, along with the name, email, or phone number used to vote

  • Mail-in entry cards

  • Winner documents: affidavit, release, and IRS Form W-9, which includes your Social Security number

Information collected automatically:

  • Photo metadata. Digital photos often contain hidden data such as the date, time, camera model, and GPS location where the photo was taken.

  • Website data. Our website host may collect standard technical information such as IP address, browser type, and pages visited.

Information from social media:

  • When you comment on, follow, or message our pages, we see your public username and the content of your comment or message.

3. How We Use Your Information

  • To run our promotions: record entries, verify eligibility, select and contact winners, and deliver prizes

  • To research, develop, train, and improve artificial intelligence software and products, including wildlife identification and antler measurement tools

  • To display submitted photos on the Braggin' Board and in our content, as described in the Official Rules

  • To send you marketing emails, but only if you opted in

  • To call or text you about your entry, never for marketing

  • To meet legal, tax, and record-keeping requirements

4. Sensitive Data

  • Photo location data. GPS location in photo metadata is precise geolocation data. We process it only with the consent you give on our submission forms, and we use it only for research and product development. We never publicly display the precise location of any photo.

  • Youth photos. We accept photos of minors only when submitted by a parent or legal guardian who consents on the form.

  • Social Security numbers. We collect these only from winners who are required to provide a Form W-9. We store them securely and use them only for tax reporting.

5. How We Share Your Information

We do not sell your personal information. We do not use it for targeted advertising.

We share information only in these cases:

  • Service providers who help us operate: form, website, email, and cloud storage providers, and developers building our software. They may use it only to provide services to us.

  • Public display: Braggin' Board photos, captions, and names; contest entries; and winner names, cities, and states, as described in the Official Rules.

  • Prize providers: the minimum information needed to deliver a prize, such as a firearms dealer completing a transfer.

  • Legal requirements: when required by law, subpoena, or to protect our rights.

  • Business transfer: if HRR is reorganized into a new company or sold, your information transfers with the business under this policy.

6. How Long We Keep Information

  • Promotion records, including entries, winner documents, and drawing records: at least 2 years after the final prize is awarded, as required by law.

  • Contact information: while you're participating or subscribed, plus the promotion record period.

  • Submitted photos and data: kept indefinitely under the license in the Official Rules, unless you request removal.

7. Your Rights

Depending on where you live, you may have the right to:

  • Confirm whether we process your personal information, and access it

  • Correct inaccurate information

  • Delete your personal information

  • Get a copy of your information in a portable format

  • Opt out of the sale of your data, targeted advertising, and profiling. We do none of these.

To make a request, email data@huntingranchresearch.com or mail us at the address above. We will respond within 45 days, and may extend that by another 45 days if reasonably necessary. We may need to verify your identity before responding.

If we deny your request, you may appeal by replying with "Appeal" in the subject line. We will respond to appeals within 60 days. If your appeal is denied, you may contact the Texas Attorney General at texasattorneygeneral.gov.

Limits on deletion:

  • We must keep promotion records for the legally required period.

  • Deleting photos removes them from public display and from future AI training. It cannot undo training already completed on AI models before your request.

8. Email and Phone

  • Every marketing email includes an unsubscribe link.

  • We only call or text you about your entry. Message and data rates may apply.

9. Children
Our website and promotions are not directed to children under 13. We do not knowingly collect personal information directly from children. All entrants must be adults. Photos of youth hunters are accepted only from a parent or guardian. If you believe a child has sent us information directly, email us and we will delete it.

10. Security
We use reasonable safeguards, including password-protected accounts and limited access. No system is completely secure, so we cannot guarantee absolute security.

11. Do Not Track
Our website does not currently respond to browser "Do Not Track" signals.

12. Changes
We may update this policy. The effective date at the top shows the latest version. We will post material changes on our website.
